Speaker Deadlines
To ensure we maintain our timelines, adherence to deadlines is crucial. Please be aware that all Speaker PowerPoint presentations must be submitted by January 6.
Speaker Portal Directions
Your speaker agreement includes submitting your presentation to Medtrade management prior to the show. Conference attendees are eager to prepare for your session and will be looking for the PowerPoint.
Promoting Your Session
Medtrade offers several options to help promote your session at medtrade. From submitting a press release to your local news media to posting on social media, metrade is here to help make the process seamless.
Registration
Please note as a presenter/panelist, you do not need to register to attend the Medtrade East Conference and Expo. You are automatically registered as a Medtrade presenter.
Speaker Deadlines
To ensure we maintain our timelines, adherence to deadlines is crucial. Please be aware that all Speaker PowerPoint presentations must be submitted by January 6. This allows sufficient time for review, modifications if necessary, and inclusion in Medtrade’s official show app. Failure to meet this deadline may result in the removal of your session from the Conference program. Speaker Portal Directions and Support
To access your Speaker Portal through Sessionboard, where you can edit your bio, review deadlines, and find your Powerpoint template, please check your email for login information sent directly from Sessionboard. This email may sometimes end up in your spam or junk folder, so be sure to check there if you do not see it in your main inbox. For any questions about accessing and using the platform, please visit Sessionboard’s support page here.

Promoting Your Session
Social Media
Social media is a fantastic way to inform your network about your upcoming Medtrade 2025 presentation and invite them to join you in Dallas! Here are some tips and suggested posts for speakers.
We’ve provided images and logos for promoting your session, see below. Click on an image to open a larger version in a new window, then right-click to save it to your computer. Please use #Medtrade2025 in your social media posts.
We’ll be monitoring your posts and may reshare them for additional exposure
Press Release
Submitting a press release from your company, association, or to your local news media is an excellent way to inform your community about your upcoming speaking engagement.

Note: please refer to the show at “Medtrade” and not “Med Trade” (no capital T)
Registration
As a speaker/panelist, you are automatically registered for the Medtrade Conference and Expo, so you do not need to complete a separate registration. This registration grants you complimentary access to all sessions, excluding workshops and special events.
Please remember to stop by the “Speaker Ready” room, D161, to pick up your badge. Plan to arrive at least 30 minutes before your session to allow time for check-in and to familiarize yourself with your session room.
Speaker Ready Room
The Speaker Ready room, located in room D161, will be available for your use starting Tuesday, February 18. This room is equipped with tables and AV equipment, and can be used for meeting with co-presenters, reviewing your slides, or simply relaxing. Coffee, water, and light snacks will be provided exclusively for speakers.
Audiovisual and Session Rooms
Please note that each session/workshop room will be equipped with an LCD projector, the appropriate number of microphones, and a screen. Speakers are required to bring their own laptops to present from; adapters and dongles will be available for you to connect your device. Please be aware that we cannot provide a slide advancer or internet access for your session. If you need additional AV equipment, you can rent it from SmartSource Rentals by calling 321-710-3353.
Company Brochures and Additional Speakers
To ensure sessions remain strictly educational and provide a “no-pitch” environment, marketing materials such as brochures and flyers promoting a specific company or product are not permitted in the educational sessions.
All speakers have been pre-approved by the Medtrade Educational Advisory Board and Medtrade Show Management and have signed speaker agreements to confirm their participation.
